Pinned Report Improvements Are Coming Soon

Pinned reports are a great way to easily access the information that matters to your business. Soon, we’ll be making them even better.

Inline Pinned Reports

Currently, clicking a pinned report will take you to the full report page. That means any user that clicks that pin can make their own report searches or view fields you may not want them to view.

In Rezgo’s next major update, pinned reports will open inline results that only include the information and fields you included when you saved the search. The results can be printed and exported directly from that inline window.

Users who have permission to access the report can continue on to the full report if they need to make adjustments. Users without those permissions will only be able to see the fields and results you’ve allowed them to see.

With this update, you won’t have to rely on exported reports any time you want to give users access to report results without letting them into the report itself.

Dynamic Tokens

Right now, if you want to create a pinned report that will show a user only their own bookings or other details, you need to make a report specifically for that user. This might mean you need to create tens or hundreds of nearly identical reports.

Soon, you’ll be able to select Current User or Current Desk instead. With these tokens, a single pinned report can show every user their own personalized report results.

You’ll still be able to restrict pinned reports by security group, too. For example, you could show all your desk managers a report on their own desks’ results without showing it to everyone who uses that desk. Or you could create a report that only shows your agents their own sales without pinning that report for other staff.

With these dynamic tokens, showing users the information that matters most to them will be simple and efficient.

Action May Be Required

If you need to restrict your pinned reports to certain users, you may need to take action.

Currently, a pinned report takes you directly to that report’s page. Since the report page itself can be restricted by security group, that means users without permissions could see the pin — but not the report.

Because the updated pinned reports will be loaded directly on the dashboard — with only the information you make available — restricting report pages by security group won’t keep users from seeing the data contained in pinned reports. It will only keep them from continuing to the full report.

Instead, individual pinned reports should be restricted by security group. If that’s how you currently have your reports set up, you won’t need to make any adjustments.

To prepare for the upcoming changes to pinned reports, evaluate your current saved reports. If they aren’t restricted to the correct security group, or you aren’t sure whether they are, you can open the pinned report and save it again with the correct security group. Then you’re free to delete the original.
